Description

SUMMARY OF POSITION:


This position serves as the lead for purchasing, supplies, distribution, general maintenance, facilities, security, and other logistical functions as needed.
  • Responsible for all purchases, including fixed assets, and establishment of purchase procedures and an integrated purchasing system. Ensures information regarding fixed asset purchases are received by appropriate accounting staff.
  • Responsible for all leased equipment, including copiers and postage machines. Maintains appropriate information and forwards as needed to leaser.
  • Responsible for addressing space needs of the agency, including working with appropriate MCC staff regarding leased space in the Northland Human Services building. Works with Executive Team members to address other space needs as they arise. Manages remodeling projects and office moves as needed, including developing work plans. Works with outside vendors to schedule work needed.
  • Coordinate with the MCC Building Manager and cleaning contractors for general office maintenance issues and maintain safety inspection documentation for all Tri-County locations. Responsible for ensuring all CARF standards related to safety and security is met. Responsible for reviewing and updating the Environment of Care policies.
  • Maintains knowledge of agency technology programs and/or systems needed to do the job and uses them effectively.
  • Supervises internal printing operations. Routes printing requests as appropriate to outside vendors. Provides monthly usage reports to CFO.
  • Supervises mail operations to include distribution record keeping and requesting postage as needed. Provides monthly usage reports to Accountant.
  • Provides oversight or the cleaning contract for all suites at the main campus. Coordinates with Supported Employment to ensure issues related to the cleaning staff are addressed appropriately.
  • Responsible for non-electronic key control.
  • Supervises maintenance of supply stocks including office supplies and catering cabinet.
  • Serves as the contact person for all logistical functions (i.e.; pagers, fax, phones, shredding service, long term storage, advertising, etc.)
  • Serves as a member of Forms, Manager’s and QI committees.
  • Must be able to work on multiple projects simultaneously and MUST maintain a high level of client confidentiality.
  • Other duties as assigned.

 

QUALIFICATIONS:

Education/Certifications: 

  • Associates Degree from a junior or technical college required
  • Bachelor's degree preferred
  • Driver's license and state minimum required insurance required.
Experience:
  • One to three years of position related experience required
  • Three to five years of position related experience preferred
Required Knowledge:
  • Intermediate to advanced knowledge of Microsoft Office Outlook, Word, and Excel and the Internet.
  • Working knowledge of Purchasing systems
